UKCP Event Terms and Conditions

Payment methods 

Registration for events and/or booking fees do not carry VAT. This is correct at the time of publishing. 

Payment can be made by credit or debit card via the Eventbrite booking page. All fees must be paid in full at the time of booking. Once we have received your booking, you will receive a confirmation email to the email address that you used for registering. If you have not received this after 24 hours, please check your junk mail. If you have still not received a confirmation email, then please email events@ukcp.org.uk. 

We aim to send your joining instructions within one week prior to the event taking place, this will include information such as the programme timings, venue address, and joining links to access online events. For online events joiners may be sent the instructions few days before the event. 

If you arrive at an event having not paid in full, we will ask you to make a debit or credit card payment before admittance, in some situations an invoice may be raised. 

Cancellations 

Cancellations of event bookings will be required in writing or by email. If there is more than 30 days before the event a refund will be issued in line with the refund policy, minus a 25% admin fee. Cancellations after this period or failure to attend without prior notification will incur a 100% cancellation charge unless the cancelled place can be resold. In this case, we will advise you after the event has taken place and the refund policy will be applied. 

If you cancel less than 30 days before the event and have not paid in full, you will still be liable for the full registration fee. 

You are welcome to send another person to the event in your place. Please let us know at least 72 hours before hand so that we can make the necessary arrangements for your substitute. 

If we need to cancel 

We make every effort to run the event as advertised. However, occasionally unforeseen circumstances mean that we have to cancel an event, and we reserve the right to do so. 

If this happens, we may offer: 

• an alternative date; 

• a credit note for the fee paid; or 

• a refund of the fee paid. 

Unfortunately, we are not able to reimburse travel or other expenses that you may have incurred. 

If the event is cancelled for reasons over which we have no control, we may not be able to offer any money back. 

Changes to the event content 

We sometimes need to make changes to an event because of circumstances outside our control. We therefore reserve the right to make any necessary amendments to programmes, presentations, workshops, speakers, fees or venues without prior notice and without liability. 

Liability 

Opinions expressed during an event are those of the individual speakers and not necessarily those of UKCP. We cannot accept responsibility for any actions you may take as a result of information or views expressed at our events. 

Photography/Recordings 

We may take photographs or film during the event and use the resulting material in our online or printed materials. If you do not wish your images to be used, please let one of our staff know on the day. 

Health and Safety 

Attendees must take all necessary precautions to ensure their own safety and the safety of others attending the event. 

Attendees must cooperate fully with the event organisers and venue staff in the event of an emergency or evacuation, and to follow any instructions or directions provided by authorised personnel.
